Dataflow verifies your nursing degree or diploma, council registration, experience letters and, where asked, a Good Standing Certificate. Clear scans are enough. Most delays come from experience letters: give exact dates, a reachable signatory and a working HR contact.
Every nurse who applies for a licence in the Gulf goes through Dataflow, the primary source verification of your documents. Most nurses from Kerala go to the UAE, Saudi Arabia, Qatar and Kuwait, and most Dataflow problems come from one document: the experience letter. This guide covers what nurses need, how GNM is handled, and how to avoid a delay.
Ready to start? See Dataflow verification, or pick your authority: DHA, DOH (HAAD), MOH, Saudi Arabia, Qatar, Oman, Bahrain or Kuwait.
What Dataflow verifies for a nurse
DataFlow contacts the institutions that issued your documents and asks them to confirm each one. For a nurse that usually means:
- Your nursing degree or diploma, and the transcript or mark lists
- Your nursing council registration (for example KNMC)
- Your experience letters from each hospital
- A Good Standing Certificate, where your authority asks for one
- Your passport, and a marriage certificate if your name has changed
- A signed Letter of Authorization, so DataFlow may contact the institutions
The exact list depends on your authority and your title. We send it for your case.
Clear scans are enough: DataFlow does not need attested copies or originals.
Some authorities add their own rules. DOH (Abu Dhabi) asks nurses for the transcript, a Grade 12 certificate when the nursing qualification is below a bachelor's degree, and a Good Standing Certificate less than 6 months old. For Qatar, DataFlow's guide asks for the back page of a degree from India too.
GNM, post-basic BSc and BSc
Dataflow verifies the documents you hold. Your title as a nurse is decided by the health authority, not by DataFlow.
- GNM: DataFlow must verify your diploma certificate and your council registration. If you are registered with KNMC, your KNMC Good Standing Certificate can be verified too, as your destination country prefers. DOH also asks for your Grade 12 certificate because the diploma is below a bachelor's degree. Whether you are licensed as a registered nurse or an assistant nurse depends on the authority's rules. In our experience most authorities license a GNM nurse as an assistant nurse, while Qatar registers both diploma and BSc nurses as Registered General Nurses: see our DHA exam guide for nurses.
- GNM and then post-basic BSc: both qualifications can be verified. Tell us both, so the right one is used for your title. A post-basic BSc is accepted only if it was a regular course from a UGC-approved university; distance education is not accepted.
- BSc Nursing: the degree, the transcript and your registration.
Experience letters: the usual problem
Our Dataflow team sees the same issue again and again: an experience letter that the hospital does not confirm, or confirms with different details. Before you submit:
Check the details
Printed on the hospital's letterhead, with your full name as in your passport, your exact joining and leaving dates (DD/MM/YYYY), your designation, your department or specialty and your employment status, plus a short description of your duties if asked. The dates are a must; if you still work there, the letter should say so.
Check the signatory
Signed by the HR manager or the person who signs for the hospital, with their full name, designation, contact details and the hospital's email address, and the hospital's stamp or seal where it has one. Someone the hospital will confirm when DataFlow asks.
Give a working contact
An HR email and phone number that someone answers. DataFlow contacts the hospital directly.
Tell the hospital
Ask HR to expect DataFlow's email, so it is not ignored.
If the hospital has closed or does not answer, the result is usually "unable to verify". In our cases, experience from a closed hospital cannot be verified. If the hospital was renamed or taken over, or has no HR department, ask the current management, the organisation that took it over or the medical director for the experience certificate or a confirmation of your employment. For a small clinic or agency, add supporting evidence such as your appointment letter, contract, payslips, salary bank statements or duty rosters, with contact details where the employer can be reached. Read what to do after a negative or UTV report, and tell us before you submit so we plan around it.
Good Standing Certificate
Several authorities ask for a Good Standing Certificate from your nursing council with the Dataflow documents. Our Dataflow team reports that it is not compulsory for Saudi Arabia, Oman or Qatar. DOH wants one less than 6 months old. For KNMC, see Kerala Nursing Council services or our guide to a KNMC good standing certificate from abroad.
An experience letter without exact dates
"Worked for two years" is not enough. The letter needs the joining and leaving dates.
Names that do not match
If your certificates have your maiden name and your passport your married name, add your marriage certificate.
A letter from a place you did not work
An agent-arranged letter leads to a negative result that authorities can see later. Use only genuine letters.
Frequently asked questions
What documents does an Indian nurse need for Dataflow?
Usually the nursing degree or diploma with the transcript, the council registration, the experience letters, a Good Standing Certificate where the authority asks for one, the passport and a signed Letter of Authorization. We send the exact list for your authority.
Is GNM accepted in Dataflow?
DataFlow verifies your GNM diploma and your council registration like any other document; both are a must. If you are registered with KNMC, the KNMC Good Standing Certificate can be verified too, as the destination country prefers. Whether you are licensed as a registered nurse or an assistant nurse is decided by the health authority, not by DataFlow.
Does Dataflow contact my previous hospitals?
Yes. DataFlow contacts each hospital on your experience letters to confirm them, so give a working HR email and phone number.
My hospital has closed. How will Dataflow verify my experience?
Tell us before you submit. In our cases, experience from a hospital that has closed cannot be verified, and the result is usually unable to verify, so we plan the next step with you. If the hospital was renamed or taken over, ask the current management or the organisation that took it over for the experience certificate or a confirmation of your employment.
What should my experience letter show for Dataflow?
From our Dataflow team: the hospital's letterhead; your full name as in your passport; your exact start and end dates (DD/MM/YYYY); your designation; your department or specialty; your employment status; and a short description of your duties if asked. The dates are a must, and if you still work there, the letter should say so. It is signed by the HR manager or the person who signs for the hospital, with their name, designation, contact details and the hospital's email address, and carries the hospital's stamp or seal where it has one.
Who should sign my experience letter: HR, a deputy or a team leader?
The HR manager, or another person who signs for the hospital. The letter should give the signer's full name, designation, contact details and the hospital's email address, and carry the hospital's stamp or seal where it has one, so DataFlow can confirm it with the hospital.
My certificates are in my maiden name. Will Dataflow accept them?
Yes, with your marriage certificate showing the change of name.
Do I need a Good Standing Certificate for Dataflow?
It depends on the authority. Our Dataflow team reports that it is not compulsory for Saudi Arabia, Oman or Qatar. DOH wants one less than 6 months old.
Do I need attested certificates for Dataflow?
Not for Dataflow itself: DataFlow works with clear scanned copies. But Dataflow is not a replacement for attestation. It only checks that your documents are genuine, and your MOFA and HRD attestation are still needed later, to activate your licence.
Should I do Dataflow before I have a job offer?
Yes. Our team's advice is to complete Dataflow and your eligibility before you look for a job, not to wait for an employer. In our experience it makes finding a job easier. We can start your Dataflow as soon as your documents are ready.
